A conference lives or dies on its first morning. Six hundred delegates spread across four hotels, all due in the hall for a 9 a.m. keynote, and the city’s traffic doing what it does. Shuttle loops that run on time are what get them there. We plan the loops, run the vehicles and keep one person on the phone for your event team from the first pick-up to the last.
What we run
- Hotel-to-venue loops for the Javits Center, hotel ballrooms and venues across Manhattan and Brooklyn.
- Airport arrivals for speakers and delegates, from a single SUV for a keynote to a coach for a delegation.
- Evening events — dinners, receptions and off-site parties, with everyone taken back to their hotels at the end.
- VIP cars for speakers and sponsors, kept on standby by the hour.
Planning a shuttle loop
- Send us the hotels, the venue and the head count for each, plus the session times.
- We work out the loop: how many vehicles, how often they run, and where each one can actually stop at each hotel.
- You get a timetable to publish to delegates, with pick-up points and frequencies.
- On the day, our dispatcher watches the loop and adjusts if a hotel queue builds up or a session runs late.
Why the coach suits shuttles: it moves up to 56 people per run, with an onboard restroom and WiFi for longer transfers. For hotels with tight driveways or narrow streets, the 28-seat mini bus gets in where a coach cannot.
Billing for event teams
One quote for the whole event, one invoice at the end, and a breakdown by day and vehicle if your finance team needs it. For agencies and companies that run events regularly, a corporate account keeps everything in one place.

Conference questions
How far ahead should we book conference shuttles?
As early as you can confirm your dates and hotels. Big convention weeks fill up the city’s coaches quickly; six to eight weeks ahead is sensible, and more for the largest shows.
Can the shuttles carry signage for our event?
Ask us. Removable window signs or placards with your event name are usually possible and help delegates find the right vehicle.
What if a session overruns?
Our dispatcher adjusts the loop on the day. Tell your contact at the venue to call us, and we will hold vehicles or add runs as needed.
